The Patient Acquisition Audit Checklist

A structured 5-minute self-audit that walks through every component of your patient acquisition system — from Instagram to follow-up sequences — so you can see exactly where patients are falling through the cracks.

Most acquisition problems aren't mysterious. They're identifiable gaps in a known system. This checklist gives you the framework to find yours.

Who This Is For

Built for practices that are spending but not sure what's working

This checklist is for practice owners and managers who are investing in marketing — Instagram, ads, email, or some combination — but aren't confident their acquisition system is working at full capacity. Something is leaking. They're just not sure where.

If you've ever wondered why your Instagram following doesn't translate to booked appointments, why leads from ads don't seem to convert, or why patients book once and don't return, this audit will surface the specific breakdowns in your system.

It's designed to take five minutes and leave you with a clear list of what's working, what's broken, and what to fix first.

What You'll Audit

Eight components of your patient acquisition system

  • Instagram audit — profile optimization, content consistency, CTA clarity, and DM response time
  • Website conversion check — CTA hierarchy, mobile performance, form functionality, and trust signals
  • Speed-to-lead assessment — average response time to new inquiries across all channels
  • Follow-up sequence review — whether leads who don't book immediately are being nurtured or abandoned
  • Booking friction audit — how many steps it takes to go from interest to confirmed appointment
  • No-show rate benchmark — your current rate vs. industry benchmarks, and what's causing the gap
  • Content consistency score — whether your content calendar has a strategic structure or is purely reactive
  • Patient retention check — what happens after the first visit, and how many patients return within 90 days
How to Use It

Score each component, then fix the lowest scores first

The checklist uses a simple scoring system — each component gets a score from 1 to 5 based on the criteria provided. Add up your scores and you'll have a clear picture of where your system is strong and where it's leaking patients.

The most valuable output isn't your total score — it's identifying your two or three lowest-scoring components. Those are your highest-leverage fixes. Improving a broken piece of your funnel from a 1 to a 4 will have a much larger impact than improving a 4 to a 5.

Once you've completed the audit, if you want a second opinion or professional help implementing the fixes, we're one conversation away.
